DEDCC Meeting Minutes – 6/3/09

Attending: Kelcy Shepherd, Emily Alling, Rebecca Henning, Mary Stettner, David Podboy, Janet Ewing

Updates:
• FCLC
o Chris did not pass along anything from FCLC
• WorldCat Local
o Rebecca said there was nothing new with the WCL implementation at Amherst.
o Kelcy reported that the Go Live date for BLC Resource Sharing is still set for July 15th. OCLC plans to launch the new metasearch capabilities around July 23rd. UMass had asked about having some kind of test-bed/sandbox to experiment with the metasearch, but that will not be possible until the same date as the launch.
o Also noted -- OCLC’s metasearch is meant to be formed by re-indexing sources – like the EBSCO databases – and searching a consolidated file, rather than by doing a broadcast search.
o David and Janet noted that both Smith and MHC are experimenting (behind the scenes) with the new WCL Quick Start.
o David has asked about including all 5C OCLC symbols in the implementation and OCLC says it should work, but it doesn’t seem to!
o Janet noted that she had asked about the ability to completely turn off the article search component (since it only searches a small article pool and is misleading) and was told that that is not possible but will be considered for future enhancements. Kelcy said that they had gotten two different answers on this same question but ultimately had decided to keep the article search ‘on’ anyway.
o We will all continue to update each other as things progress.
• Other Updates
o David will start on a draft for the DEDCC Annual Report soon
o David emailed to Syndetics to say that we will only be renewing with just 3 data elements. Also, Chris would like us to figure out where the Syndetics management belongs in future.
o We rescheduled the August meeting to Wednesday, August 5th from 3:00-4:30pm. David will check on space at Five Colleges, Inc.

Diane Hillmann Wrap-Up
• We all felt the program went very well. Attendance was good and anecdotal responses people heard were very favorable.
• David noted that the paperwork seemed to go smoothly. Diane did get paid.

DEDCC Charge Review
• We spent most of the rest of our meeting time considering and discussing DEDCC’s current charge, our recent joint meeting with RIO and our thoughts about DEDCC’s role(s). Some key points:
o We did feel that DEDCC plays an important and useful role both in being cross-functional and able to see beyond individual areas and in focusing on the future.
o There are some outstanding questions as to the most appropriate relationship between DEDCC and the more functionally-oriented committees – i.e., how could that best work?
o There are some areas in which DEDCC’s specific responsibilities and functions could be better clarified
• We will pull together a summary of our thoughts and send it on to the Librarians’ Council in time for their June 8th meeting.

We briefly checked in with each other as to how we feel the committee is working – meeting effectiveness, etc. The general feeling was that it was going quite well, but would benefit from some clarity on our charge and perhaps warrants a little more time for discussion. We will talk a bit further at our next meeting.

We also deferred continuing discussion on our Federated Search investigations to our next meeting. Possibly we can generate some discussion via email beforehand.
