DEDCC Minutes - Meeting 01/21/09

Attendees: David Podboy, Chris Loring, Emily Alling, Rachel Beckwith, Kelcy Shepherd, Rebecca Henning, Mary Stettner, Janet Ewing
Agenda Review
Decided against rescheduling April meeting, even though Janet will need to leave early.
Reviewed assignments for liaisons to other Five College committees. Liaisons are as follows:
o Aleph Management Emily
o Archives Kelcy

o Serials & Acquisitions David
Updates
FCLC Proposal for Diane Hillman program hasnt moved forward to all of FCLC. Rebecca will send to Chris so that he can forward it on.
WorldCat Local Little to report from either Amherst or UMass.
Diane Hillman Planning
Rebecca reported on her phone call with Diane. She is now doing consulting for ExLibris, and may be able to include some Aleph-specific information in her presentation. She also indicated that although the program would be mostly presentation, she could also include some workshop-type activities on RDA. There will be another RDA update out before May 1 and she could provide records in advance for participants to work with.
Diane suggested a 9-12 program, and offered to have lunch with a group of Five College librarians afterward. She said we could think of this as a free consulting opportunity.
The group agreed that our first choice would be to have the program be limited to the Five Colleges so that we could have Diane customize her talk for our needs specifically academic libraries and Aleph users. Chris mentioned that FCLC had gotten positive feedback on the previous open program on Next Gen Catalogs and may ask. The group wouldnt push back if thats what FCLC would prefer, but we will also be doing a broader program later.
Location will probably need space for 70-100 people and the program will require a laptop and projector. Janet, Rebecca, Rachel, and David will do initial investigation into possibilities on their campuses. We can move with securing a location as soon as we get FCLC approval.
Five College Libraries Website Update
David had shared copies of pages with highlighted areas in need of modification in advance of the meeting. Liaisons will contact the chair of the related committee asking them to submit changes to Robyn Cutler by March 2.
o David will edit the joint catalog page.
o Rachel will contact Circ about the direct borrowing and ILL/delivery service pages.
o Chris will take the library council page to FCLC. All agreed that the Recent Projects section could be removed.
o Mary will send Library Locations to Collection Management. Some of the issues noticed were that UMass doesnt list the Image Collection Library and that there is no information about Hampshire.
o David will send changes to the library contacts page. Kelcy will supply him with the new URL for UMass.
Survey Results for Unconference
Mary provided updates on additions that had come in since she distributed a report on survey results the morning of the meeting. Next Gen ILS and Digital Preservation were still the leading topics.
October-November looked to be the best time for those who responded, and will allow us to distribute the programs we offer throughout the year.
Mary will send out another reminder about the survey.

Federated Searching Project
David put a number of links in delicious, and reviewed the list of products to see if anyone knew of additions. Emily suggested the new EbscoHost product, and Autographics. She will add these to delicious. Janet suggested we continue to keep an eye on the eXtensible Catalog project. David will add this to the delicious links.
We began to brainstorm a list of wants/needs:
o Dont want users to have to figure out which database to search. Remove this layer from the process.
o Federated search that can be embedded into many places, both subject specific subsets and the full federated search.
o Search local digital resources/collections.
o Search catalog.
o Export to RefWorks, Zotero, other citation management tools.
o Integration with course management software.
o Faceted browsing especially for formats.
o Back end that is easy to select clusters of resources to create a search box.
o Notify user that other things may be available at different colleges. (Discussion as to whether this is more of an education issue.)
o Ability to display to user what theyre searching (which sources).
Mary suggested also searching online to see what feature lists may already exist. She will begin to add samples to delicious.
David asked Chris about cost. Obviously it is a very difficult fiscal environment, and getting money for new things will be difficult but not necessarily impossible. The presidents feel very strongly about leveraging collaborative efforts. The group discussed if there is any way to implement federated search that will allow other cost savings. Open source products with vended services (like LibLime) may be of interest. Emily wondered if the directors at the libraries already acquiring WorldCat Local would be interested in an additional product. Well need to wait and see what WCL can do in terms of what resources can be included.
Next steps: all continue to add links to delicious and look at the links that are there. Janet suggested also looking at the Next Gen Catalog list as well.
