DEDCC Meeting Notes

March 13, 2008, 10:30 am - 12:00 pm, Smith College Library
Present: Anne C. Moore, Chris Loring, David Podboy, Janet Ewing (chair), Marilyn Billings, Mary Stettner, Rachel Beckwith, Rebecca Henning (recorder), Sika Berger

1. Housekeeping:
The committee welcomed two new members: Rachel Beckwith, Arts Librarian, Hampshire College; and David Podboy, Reference/Information Commons Librarian, Smith College. David had a scheduling conflict but was able to join us halfway through the meeting. Sika Berger will be rotating off the committee—we all greatly appreciate the work she has done for DEDCC for the past 6 years!

In July it will be time to rotate the position of committee chair; we will need to decide who that will be.

Marilyn distributed a list of suggested readings from the Nercomp seminar “The Future of the Library” which she attended Monday, March 10. The list is appended to these minutes and is also posted on our ella site.

2. FCLC update:
Chris said that although the FCLC did not have time at their last meeting for more than a brief discussion of our report, the overall sense is that they want us to continue moving forward, and proceed with bringing in vendors for demonstrations of Next Generation catalog interfaces. The next FCLC meeting will be 4/14.

3. NextGen next steps:
The majority of the meeting time was spent considering logistics of bringing in vendors, which vendors to invite, and the purpose of this next step (educational and information-gathering as opposed to RFP). There are six products that we would like to see demonstrated either in person or remotely (through a webinar, for example):

- Koha~Evergreen~opensource/LibLime
- Primo/Ex Libris
- WorldCat Local/OCLC

Timing: we are aiming for sometime between April 23rd and May 1st. If six vendor demos we would need 2 afternoons or an all day session? 45 min. for demo plus 15 min. for questions?

We want to do a survey of the demo attendees; Mary volunteered to set up a webform.

TO DO: Mary also volunteered to set up an ella-based site for our committee to use as a wiki to coordinate this project.
There was some discussion of the Boston Library Consortium/UMass investigation of WorldCat Local.

TO DO: initial contacts: Marilyn will contact Barbara Herzog (Encore) and Marian Carney (Primo) and is already in touch with Jeff Riedel (Aquabrowser)
Janet will contact someone regarding Aquabrowser and Worldcat Local
Rebecca will contact someone at LibLime
The initial information we are after: can they demonstrate as a webinar? Can they give us a ballpark $ estimate? Can they do a demo in April? And we specifically need information geared toward consortia, of course.

Janet will talk with the chairs of RIO and AMC to get a sense of how much they want to be involved.

Discussed possible available spaces. Immediately after the meeting the following information was available from Sika at Smith:
“The Browsing Room in Neilson is available any time Wed. 4/23, Fri. 4/25, Tues. 4/29, Thurs. 5/1, Fri. 5/2 There are open times also on Thurs. 4/24 (until 3:30 p.m.); Mon. 4/28 (from 2:30 on); Wed. 4/30 (from 2:00 on)
Other possibilities we could pursue at Smith (holding 120 and 105 people):
- Hillyer's Graham Hall: Wednesdays 4/23 & 4/30 after 2:30; Fri. 4/25 & 5/2 after noon
- Seelye 106: after 2:30 only, Mon. 4/28 and Wed. 4/30”

And from Rachel at Hampshire:
“Ash is available all day on Friday, 4/25; Monday, 4/28; and Friday, May 2 but it only seats 60 people. Also the West Lecture Hall in Franklin Patterson Hall is available all day on Friday, 4/25, and it seats 110”

4. Other notes:
Anne suggested that perhaps instead of conference reports, our next brown bag focus on some of the “Collaboration Webs” examples from the 2008 Horizon report.

There is a WorldCat Local webinar next week (3/20) which Janet will be “attending”.
